For a lot of small business owners, the most painful part of accepting cards isn't the transaction — it's what happens afterward. Sales have to make it into QuickBooks. Processing fees have to be recorded. And the deposit that lands in your bank account almost never matches the day's sales total, because fees and batch timing get in the way.
That's exactly the gap our QuickBooks Online integration closes. When your processing account is connected to QuickBooks, every sale, fee, and deposit flows into your books automatically — categorized, matched, and ready to reconcile. Here's how it works and what it actually saves you.
The problem: your deposits never match your sales
Say you ran $2,000 in card sales on Tuesday. Wednesday morning, $1,943 shows up in your bank account. Where did the other $57 go? Processing fees came out, maybe a refund was netted in, and perhaps part of Tuesday's batch settled with Monday's. Now multiply that by every business day of the month.
Without an integration, someone — you or your bookkeeper — has to untangle that manually: match deposits to batches, back out the fees, record them as an expense, and hope the numbers tie out at month end. It's tedious, error-prone work, and it's the number one reason card sales get miscategorized in small business books.
What the integration does automatically
Once your Scale Payments account is connected to QuickBooks Online, the busywork disappears. Behind the scenes, the integration handles four things:
Sales post to your books daily
Each day's card sales sync into QuickBooks as sales receipts or a daily summary — your choice — categorized to the income accounts you pick during setup. No manual entry, no forgotten days.
Fees are recorded as an expense
Processing fees post automatically to a fee expense account, so your income shows gross sales and your fees show as their own line. Your P&L reflects reality instead of an understated revenue number.
Deposits match to the penny
The integration records deposits net of fees, exactly the way they hit your bank. When your bank feed pulls in the deposit, QuickBooks finds the match automatically — no more detective work.
Refunds and chargebacks are captured
Refunds and disputes sync too, so a busy week of returns doesn't leave your books overstating income.
What setup looks like
Connecting takes minutes, not days, and we do it with you:
You authorize the connection to your QuickBooks Online account — a standard, secure sign-in through Intuit. We never see or store your QuickBooks password.
Together we map your accounts: which income account sales post to, which expense account catches fees, and which bank account receives deposits.
You choose your detail level — individual transactions or a clean daily summary. Most owners pick the summary; most bookkeepers love it either way.
From then on, it runs on its own. Sales sync daily, and your bank feed matches deposits automatically.
Who benefits most
Every business with books benefits, but the integration pays for itself fastest in a few situations:
Businesses doing their own bookkeeping
If you're the owner and the bookkeeper, this hands you back hours every month — and removes the category of mistakes that come from manual entry.
Businesses paying a bookkeeper hourly
Reconciling card deposits by hand is billable time. Automating it is a direct, recurring saving.
B2B businesses invoicing through QuickBooks
If you invoice from QuickBooks and take payment by card — through a virtual terminal or a payment link — the payment flows back and closes out the invoice, keeping receivables accurate.
Clean books have a bonus: you can actually read your fees
When fees post to their own expense account every day, something useful happens: you can see exactly what card acceptance costs you each month, in one place. Divide that by your card volume and you've got your effective rate — the single most important number on your merchant statement.
If that number looks high, that's a conversation worth having.
