Holiday rush payment readiness: 8 things to fix before your busiest day

The busiest shopping days of the year are a terrible time to discover that a terminal needs an update, the Wi-Fi drops near the register, or your team does not know how to issue a gift card. In the holiday rush, a payment problem is not an inconvenience — it is a sale walking out the door.

A short pre-season review makes the rest of the year easier. Here are eight things to check before your line gets long.

1. Test every terminal the way a customer uses it

Run a small test payment on each device: tap, chip, swipe, receipt, refund. Check that the terminal is charged, connected, and printing clearly. If one reader is slow or unreliable in October, it will be worse with a line of customers in December.

2. Give the internet a backup

Know how to turn on a phone hotspot and connect the terminal before you need it. If your setup supports cellular failover, confirm it is active. A second connection is one of the cheapest ways to protect a full day's revenue.

3. Turn on the payment methods customers expect

  • Confirm contactless tap and mobile wallets work. During a rush, fast tap payments keep the line moving better than chip dips or cash counting.

  • Make sure tip prompts match your business and ticket size; unclear or aggressive prompts slow checkout and frustrate customers.

  • Set up a payment link for phone orders, deposits, and customers who want to pay after leaving the store.

4. Stock and promote gift cards

Gift cards are not an afterthought in November and December. They bring in cash now, bring new customers later, and solve the last-minute buyer's problem. Order physical cards early, make sure digital delivery is enabled, and put them where customers can see them.

5. Confirm your batch cutoff and funding schedule

Busy days create bigger batches, and bigger batches matter when inventory bills and payroll are close behind. Confirm when your terminal batches, when your processor's cutoff is, and whether you receive next-day funding. A batch that closes after cutoff can delay your money by a business day.

6. Train the whole team, not just the manager

  • Show every counter employee how to retry a soft decline once, offer another payment method, and avoid repeatedly running the same card.

  • Make sure they know the refund process and who approves larger refunds.

  • Give them the support number and the backup plan. No one should be searching an old email while customers wait.

7. Review fees before volume spikes

A busy holiday season magnifies every percentage point and every unnecessary monthly fee.
