Taking payments in the field: a guide for plumbers, HVAC techs, and every mobile pro

6 min readAugust 14, 2026

For plumbers, HVAC techs, electricians, cleaners, landscapers, and every trade that works out of a truck, the office is wherever the job is. But at a lot of these businesses, payments still work like it's 1995: finish the job, drive off, mail an invoice, wait.

Every day between "job done" and "money in the bank" costs you — in float, in follow-up calls, and occasionally in invoices that quietly never get paid. Here's how to collect at the job site, every time, without adding friction to the tech's day.

Why on-site collection changes the numbers

The best moment to get paid is the moment the problem is fixed — the AC is blowing cold, the drain is clear, the customer is grateful. Collection rates at that moment are close to perfect. Two weeks later, gratitude has faded into "was it really that much?" and your invoice is competing with every other bill on the counter.

Businesses that switch from invoice-later to collect-on-site consistently report the same two outcomes: days-to-cash drops from weeks to hours, and write-offs shrink to nearly nothing.

The hardware question: what belongs in the truck

  • The tech's own phone

Tap to Pay on iPhone turns the phone already in every tech's pocket into a contactless terminal — no reader to lose, no extra device to charge. For most residential service calls, this is all you need.

  • A wireless handheld terminal

For higher volumes or crews that prefer dedicated hardware, a 4G-enabled handheld takes chip, tap, and swipe anywhere with cell coverage, prints receipts, and survives a truck cab. The same class of device tow operators run roadside.

  • A payment link as the universal fallback

Customer not home at finish? Text a payment link with the job photos. They pay from wherever they are, and the tech is already driving to the next call.

Make it the routine, not the exception

  • Put payment in the workflow: the job isn't closed in your system until payment is collected or a link is sent. What gets tracked gets done.

  • Quote with card fees in mind — or run a compliant dual pricing program so customers who choose card cover the cost of card.

  • Text receipts automatically. A digital paper trail with photos attached is also your best friend if a dispute ever surfaces.

  • For commercial accounts on terms, offer ACH on the invoice — cheaper for you, easier for their AP department.

Set up your trucks this week

A field payment setup is small: Tap to Pay enabled on the techs' phones, a handheld for the lead truck, payment links from the office, one merchant account behind all of it. We spec this for service fleets regularly — get in touch or call 718-702-0186 and your crew can be collecting on-site by the end of the week.
